Purchasing Administrative Assistant

The Purchasing Administrative Assistant will work closely with the Purchaser Administrative Officer to support the Purchasing team and s/he reports to the Administrative Director;

 

Responsibilities:

  • Proceed to the management of purchase invoices according to the procedure in place.
  • Ensure the follow-up of the validation circuit of the purchase invoices.
  • Resolve Billing errors
  • Interface with purchasers to ensure accuracy of information
  • Keep a daily record of invoices received through various channels
  • Provide support to the Purchasing Administrative Officer.
  • Answer the requests of the suppliers by email and telephone
  • Liaise with Accounting Department and suppliers about invoices’ issues
  • Management of the file with records of all the incoming invoices

 

Requested Skills:

  • Work experience as an Administrative clerk
  • Good knowledge of MS Excel
  • Strong attention to detail and good analytical skills
  • Good communication in French and English
  • Ability to prioritise
